AI Tools for the XMA Website — A Working Pitch
Internal pitch · April 2026

Twenty-four small AI tools that put xma.co.uk ahead of every UK reseller.

A working pitch for the marketing team. Practical tools we can build into the website over the next nine months. Each one designed to capture intent, qualify leads, or take the website conversation further than any competitor is taking theirs.

The opportunity

The website now has to convince before sales gets the call.

Three numbers tell the story. The buyer is doing the homework with AI before they ever speak to us. The reseller market has worked this out. The window to get ahead is open and short.

94%
of B2B buyers used a large language model during their buying journey in 2025.

61%
of the buying decision is now made before contacting any vendor.
Source: 6sense, 2025. In Europe, 75% of deals close with the first vendor contacted.
23-36%
conversion uplift typically reported by B2B sites that add interactive AI tools.

In plain terms: by the time a public sector buyer fills in our contact form, they have already asked ChatGPT or Perplexity who the best UK reseller is, looked at three or four sites, and made up most of their mind. The website is doing the selling, not the sales team. So the website needs to behave like one.

XMA's natural advantages

Build the tools around what competitors cannot easily borrow.

These are the assets that make our tools defensible. Most resellers can copy a chatbot. Almost none can copy what sits underneath these.

30+

Procurement frameworks

CCS, NHS SBS, YPO, KCS, Crescent, Procurement for Housing, plus the devolved nations equivalents. More than most direct competitors and badly under-marketed today.

DG

DataGardener exclusive

Sole UK and Ireland partnership. Enriched data on 16 million UK companies. The single most defensible advantage we have for tools competitors literally cannot copy.

Microsoft ASP status

Authorised Surface Provider, in-house repair at Nottingham and Livingston, original parts, full warranty preserved. A handful of UK resellers can claim this. We can.

Apple Authorised Reseller

theEDUstore.co.uk, Apple in education at scale, MDM and deployment expertise. Bett 2026 in January is a perfect amplification window for an Apple education configurator.

CEMS — real ESG numbers

Circular Economy Managed Service. In-house repair and re-circulation operation at meaningful scale. Numbers we can put on a screen and a tender, not just a brochure.

🛡

MoD-cleared, SC vetted

Police-vetted staff, MoD-cleared facilities, secure deployment experience at scale. A trust angle no tier-one competitor can claim on the same terms.

AI

Atera partnership (2025)

AI-powered RMM and helpdesk. A live AI-led IT operations story we are not yet telling on the front of the site.

W

Westcoast group

Ownership by the UK's largest IT distributor. Their AI Hub already runs. The supply chain, finance, and product breadth behind us is bigger than most.

£112m

Public sector book

Tussell-tracked direct public sector revenue. Cabinet Office, Monmouthshire, Glasgow, NHS trusts. Real, named credibility most resellers can only point at vaguely.

The competitive picture

Five resellers, what they have shipped, and where we go past them.

Honest read of what is actually live on competitor sites today, and the specific moves we make to do this differently and better.

Competitor
What's live on their site
Where we go beyond itXMA play
Softcat
Two-minute Cyber Posture Assessment on the homepage. AI Readiness Assessment. M365 and Copilot Optimisation. Acquired Oakland (AI consultancy) in 2025.
We build the same three tools sharper and sector-specific, then add a Framework Finder, a CEMS Calculator and a Procurement Act 2023 readiness tool that they cannot easily match.
Bytes Technology Group
Copilot for M365 Readiness Assessment. Microsoft Copilot Guide. Public sector Shadow AI Symposium 2026. Internal Copilot rollout used as a credibility line.
We add a public sector Copilot tool with explicit DSPT, NCSC and DPA framing. We pair it with the MoD-cleared facilities angle, which Bytes cannot claim.
Computacenter
Enterprise relationship-led. Strategy papers and case studies. Few interactive tools. Targets six and seven-figure deals.
Their model does not fit XMA's mid-market and education customers. We take the opposite angle: small, fast tools that close the qualification gap before the relationship begins.
Insight UK
Strong Copilot and Azure AI content hub. Forrester-style commissioned research. Light on interactive assessment tools.
We turn long-form content into interactive tools. Same insights, but the visitor walks away with a personalised report rather than a 30-page PDF.
CDW, SCC, boxxe, Trustmarque
Configurators and product comparison (CDW). Stated AI distribution intent (SCC). Services-led (boxxe, Trustmarque). No comparable public-facing AI assessment tools yet.
We move first with a depth and breadth of tooling that the next tier cannot match without a year of investment, combined with our existing public sector strength.

Patterns to copy

  • Short interactive assessments. Every leader has at least one. Two minutes, ten questions, a personalised PDF at the end. We need this on day one.
  • "We use it ourselves" credibility. Both Softcat and Bytes lead with internal AI rollout numbers as a trust signal. We need our own equivalent line decided and led with.
  • AI-readable content. Clear FAQs, comparison pages, named statistics. This is what gets cited inside ChatGPT and Perplexity.

Patterns to break

  • Sector-specific tools. Everyone has a generic Copilot quiz. No one has a Multi-Academy Trust device tool, an NHS framework checker, or a Procurement Act 2023 readiness tool. We build all three.
  • Partnership-data tools. The DataGardener exclusive gives us inputs no competitor can replicate. We turn it into a moat, not a footnote.
  • Account-level personalisation at scale. Adaptive landing pages and named-account microsites are still rare in the channel. Done well, they shorten sales cycles materially.
Live, working demos

Show the idea working, not just described.

Five of the twenty-four tools, simulated below at the level of detail a website visitor would actually see. Click through them. Each takes thirty seconds and gives a fair sense of what the visitor experience would feel like.

2

Copilot Readiness Score

Three minutes. Personalised PDF. Branded XMA. Sent to the visitor and to the right account manager.

Choose your answers and generate the score. The output below is what every visitor would see, branded in XMA's identity, with a personalised PDF emailed in under sixty seconds.

🔒 xma.co.uk/framework-finder
Tool 6 · Live demo
6

Framework Finder

No UK reseller has built this on the public web. The Cabinet Office cannot do supplier-side filtering this cleanly. Tussell can, but sits behind a paywall.

Pick the visitor's situation and we will surface the XMA-applicable framework, the lot, the named owner, and a one-line procurement note.

🔒 xma.co.uk/cems-calculator
Tool 13 · Live demo
13

CEMS Carbon & Cost Calculator

CEMS is one of XMA's strongest cards and it is currently almost invisible on the website. This calculator turns it into hard, defensible numbers buyers can quote.

Real numbers, drawn from the volume XMA already repairs and re-circulates through its Nottingham and Livingston facilities.

🔒 xma.co.uk/insider-briefing
Tool 14 · The moat
14

DataGardener Insider Briefing

No UK competitor can replicate this without paying DataGardener directly. Sole partnership. 16 million UK companies. Used commercially today, not yet on the website.

GDPR-clean. Briefing is about the company, not the person. Sourced from a licensed commercial dataset.

Visitors who see XMA already understands their organisation are dramatically more likely to take a meeting.

🔒 xma.co.uk/ai-use-cases
Tool 4 · Live demo
4

AI Use Case Generator

Solves the most common buyer question at the top of the funnel: "what could AI actually do for my role?" XMA becomes the answer source.

Output is editable, savable, shareable. When shared, our sales team sees a soft introduction signal (with consent).

Pick a role and a sector. We generate ten role-specific AI use cases the visitor can take to their team that afternoon.

All five demos run in the page using simple logic. The real builds use the same patterns plus a small server-side LLM call to generate the personalised PDF and the email.

Five tools that turn anonymous visitors into named, qualified leads. The bar competitors have set, sharper.

Effort: LowImpact: High
04

AI Use Case Generator

Visitor picks a role and a sector. Tool generates ten specific, named AI use cases with time saved per week and ready-to-use Copilot prompts. No UK reseller has shipped this.

Effort: LowImpact: High
05

AI Pilot Project Scoper

Five questions, one-page brief the visitor can take to their leadership team. Real cost bands, risks section, three follow-on options. Removes the "where do we start" barrier.

Effort: LowImpact: Medium

Framework Finder

Conversational tool covering all 30+ XMA frameworks. CCS, NHS SBS, YPO, KCS, Crescent, devolved nations equivalents. Returns lot, reference, named owner, calendar link.

Effort: MediumImpact: HighXMA-first
07

Procurement Act 2023 Readiness

The Act came into force on 24 February 2025. Most buyers and small suppliers are still working out what changed. Ten questions, scored against the eight major changes.

Effort: LowImpact: HighXMA-first
08

Social Value Calculator (PPN 06/20)

Estimates social value contribution across the five PPN themes. Outputs a defensible PDF the buyer can attach to a tender decision. Built on real CEMS and HR data.

Effort: MediumImpact: HighXMA-first
09

Multi-Academy Trust Procurement Helper

For MAT central teams: number of schools, year groups, current estate, budget cycle. Returns recommended approach, three-year cost, suggested device mix and framework route.

Effort: MediumImpact: HighXMA-first
10

NHS Framework & Compliance Checker

NHS-specific Framework Finder cousin. Includes DSPT, NHS DTAC, MHRA where relevant. Outputs a procurement note formatted for NHS internal sign-off.

Effort: MediumImpact: MediumXMA-first

CXMA-only partnership tools

Five tools no competitor can copy without licensing the same partnerships. This is where we build a moat, not a feature.

11

Surface Lifecycle TCO Calculator

Compares three scenarios over 3, 4 and 5 years using real failure and repair data from XMA's ASP-grade Nottingham and Livingston facilities. Highlights the warranty risk of non-authorised repair.

Effort: MediumImpact: HighMoat
12

Apple in Education Configurator

Year groups, app needs, MDM choice, finance option. Returns a full deployment plan with Apple Authorised Reseller pricing accuracy. Bett 2026 amplification window.

Effort: MediumImpact: HighMoat
13

CEMS Carbon & Cost Calculator

Real numbers from XMA's in-house repair and re-circulation operation. CO₂ saved, devices kept in service, money returned, social value contribution. Output formatted for ESG, tender and board use.

Effort: MediumImpact: HighMoat
14

DataGardener Insider Briefing

The most distinctive tool on the list. Sole UK and Ireland partnership. Visitor confirms their company, sees a profile pulled from data on 16 million UK firms. Truly defensible.

Effort: MediumImpact: Very highThe moat
15

Atera AI-IT Live Demo

2025 Atera partnership turned into a tailored demo flow. Visitor describes their estate, sees Atera in action against their scenario with an estimated time-saved figure.

Effort: LowImpact: Medium

DBuyer-experience upgrades

The infrastructure that makes every other tool, page and campaign perform better. Modern site behaviour, by 2026 standards.

16

AI-powered semantic site search

Replace WordPress keyword search with embedding-based semantic search. Materially better at matching intent rather than keywords. Query log alone informs the content roadmap.

Effort: LowImpact: Medium
17

Personalised case study matcher

Surfaces the two or three most relevant case studies based on sector, size and topic. Tags every case study once. Drives every other recommendation tool.

Effort: MediumImpact: Medium
18

Adaptive landing pages

Visitors from "council laptop refresh" land on a Council variant. Bett campaign hits an Education variant. Most B2B brands still serve a single hero to everyone. Doing this well is genuinely cheap.

Effort: MediumImpact: High
19

Account-based microsites

For named target accounts, generate a one-page microsite at xma.co.uk/welcome/their-name. Pre-populated with DataGardener data. Digital sales rooms are an emerging category in the channel; we get there first.

Effort: MediumImpact: High
20

AI search visibility (GEO)

JSON-LD schema, llms.txt, comparison pages, FAQ content for the format LLMs cite. AI-referred B2B traffic has been climbing fast through 2025. Most resellers are not yet writing for the AI tools buyers actually use.

Effort: MediumImpact: High

ECalculators and quote tools

Buyers want numbers. Each calculator earns a name, a sector and an indicative deal size in exchange for a number.

21

Windows 11 & Refresh Calculator

Three scenarios (full new buy, refurbished hybrid, leased with DMaaS). Includes Copilot+ PC option. CEMS sustainability framing baked in. Refresh is the biggest device conversation in the UK right now.

Effort: MediumImpact: High
22

Licence Optimisation Snapshot

Visitor enters their M365 plan mix, Copilot uptake, Power Platform usage. Returns estimated monthly waste and a board-ready PDF. Counters Softcat's services-led version.

Effort: MediumImpact: Medium
23

Smart Quote Builder

Bundle templates (new starter pack, hybrid worker, classroom pack, exec setup). AI-suggested complementary items. Live stock awareness. One-click conversion to a formal quote.

Effort: MediumImpact: High

FInternal force-multiplier

Not on the website. The single highest-value tool on the entire list, by a wide margin.

24

Tender & RFP Response Assistant (internal)

An AI assistant trained on XMA's own won and lost bids, framework responses and pricing patterns. Bid writers query in natural language. Even a modest throughput gain at our scale shifts pipeline materially. Built on Azure OpenAI with private deployment for public sector data residency. The hardest work is governance and change management with the bid team, not the technology.

How we sequence the work

Start visible. Then build the moat.

Twenty-four tools sounds a lot. The order matters more than the speed.

Time and effort

Ambitious in scope, sensible in shape.

Most public-facing tools share the same architecture for forms, scoring and PDFs. Sequenced properly, each tool gets faster to build than the last because the foundations carry over.

Build platform

WordPress + AI plugins (AI Engine, Forminator, Gravity Forms, If-So). Cloudflare Workers for serverless. Pinecone or Postgres pgvector for embeddings. All standard, low-risk parts.

Team shape

One mid-level WordPress developer, one front-end developer with AI assistant fluency (Cursor, Claude Code), plus a marketing content owner. Light agency support for design polish on the bigger pieces.

Risk profile

Low. None of the tools requires custom AI training. All use existing partner APIs and well-understood plugin patterns. The hardest work is content and data, not engineering.

The window is open. Not for long.

None of this is heroic. The reason no reseller has done it yet is not technical, it is organisational. Marketing waits for IT, IT waits for procurement, the year goes by. The first reseller to commit to a tools-first website strategy and see it through pulls a meaningful gap on the rest of the market for the next two years.

XMA has the unique partnerships. The unique credentials. The right ownership. A flexible enough website. Twenty-four tools, three quarters, sensible team shape. The pieces are all here.
